Access and execute an Access Review

As an assigned reviewer, you will receive an email invitation to access and complete your review tasks within a specified timeframe. 

Please note that the management session must be active before you can perform any review actions. While the session is inactive or review actions remain incomplete, the review status remains set to “Running”.

 

Access your review task(s)

Step 1: notification and access

You will receive an email containing a direct link to your assigned review task(s)

Clicking the “Review Tasks” button takes you to your assigned Access Review tasks.

After clicking “Review Tasks” in the email, one of the following will occur:

  • If you are a CoreView operator: log in using your standard credentials.
  • If you don't have a CoreView account: CoreView automatically creates an account using your Microsoft 365 credentials. This account provides limited access, restricted to assigned reviews. 

Step 2: review dashboard navigation

After logging in, the interface will vary depending on how many review tasks are assigned to you:

  • Single review task assigned: the dashboard automatically opens the review details page.

Each review entry displays start and end dates, current progress, and specific task instructions provided by your tenant admin.

Step 3: locate and start the review

Identify your review. If multiple reviews are assigned, select one from your task list. Click “Start review” next to the relevant resource to begin.

Click “Start review” to begin.

Locked review tasks

If multiple reviewers are assigned, some review tasks may be locked to prevent simultaneous edits. Locked reviews can be identified as the “Start review” action will be greyed out. A locked task may become available if the current owner or a tenant administrator releases it.

If the “Start review” button is greyed out, another operator is currently reviewing that resource.
 

Step 4: take ownership for the review

When you select an available review task, you will be prompted to confirm ownership. Click “Start review” to accept and proceed.

Before you start a review, you must accept ownership of it.

If you cannot complete the review, you or your tenant administrator must release ownership to allow another assigned reviewer to take over.

 

Perform an Access Review

Step 1: make access decisions

During an access review, you are required to confirm or revoke access for the user accounts included in the review. For each entry you may:

  • Remove access: select the “Delete” checkbox for the user.
  • Grant group ownership (if available): select the “Owner” checkbox for the appropriate user. This updates their role in Microsoft 365.

All changes remain pending until you submit the review. 

For example, when reviewing Teams group members, decide if users and guests retain group access. You may also assign group ownership to eligible users.

Access Review options for Teams group members include member deletion and the option to set a member as owner.

Note: If a user is set as a group owner, the delete option for that entry is disabled during the same session to prevent role conflict.

You cannot remove a member while assigning them as a group owner.
 

Step 2: submit or save review for later

Once you have completed your review, click “Next” to review and submit. Alternatively, you can save your review as draft at any time and resume it before the deadline.

You can save your review as a draft and return to it later.

Step 3: resume review or release ownership

You may resume an in-progress review by selecting the “Resume review” button to continue where you left off.

In-progress reviews will display a “Resume review” button on your task list page.

If you prefer another reviewer to complete a review you own, release ownership by selecting the “” menu next to the “Resume review” button and choosing “Release ownership”. This allows other assigned reviewers to assume responsibility.  Tenant admins can also release ownership of an active review.

To release ownership of a review, first hover over the space under the Actions column to display the “…” button.
Then, click on the “…” icon and select the “Release ownership” button.

Step 4: finalize and record your review

Once all required actions are submitted, the review status changes to “Completed”. For record-keeping, you can download detailed logs of actions taken directly from the review page.
