Create template from users

This feature is exclusively available for Tenant Admins within the CoreView ONE solution.

 

You can quickly build new user templates using the “Create template from users” feature. This option lets you generate a template by referencing existing users who share similar roles or departmental settings. It’s the fastest way to ensure consistency for new hires and streamline your onboarding process.

Creating a User Template from existing user profiles

Step 1: Create a new template

In the left-side panel menu, navigate to “Settings” and then select “User templates”.

Click on “Create new > Create template from users” to initiate the process. 

This will open the “Create user template from users” wizard.

Step 2: General information

In the “General info” section, please provide the following details:

  1. Template name: enter a meaningful name for your template.
  2. Description: optionally, add a description to help users understand the purpose of the template.

Step 3: Select users as reference

In the “Select users as reference” section, choose up to 10 existing user profiles to serve as your reference group. The system will analyze these users to automatically identify and extract common attributes for your template.

For best results, select users who closely match the typical role, department, or location of the new hires you’ll be onboarding. This ensures your template reflects the most relevant and consistent settings for your team.

 

Step 4: Select properties to compare and similarity threshold

In the “Select properties to compare” section, check all the attributes you want to include in your template. You will configure the selected items in the subsequent steps.

Next, set the similarity threshold (starting from 60% and up). This determines how closely the selected user profiles must match for a property to be automatically filled in the template. For example, with a 60% threshold, any attribute shared by at least 6 out of 10 reference users will be pre-filled by the system—saving you time and ensuring consistency.

You can always modify these auto-filled fields in the subsequent steps. For instance, if 6 of your 10 chosen users have the same manager, the manager’s email will appear by default in your template, but you’ll still have the option to leave it blank or assign a different manager as needed.

 

Step 5: Edit values

In this section, you can review and configure all the properties you selected in the previous step. Any attribute that meets your similarity threshold will be automatically populated and marked with a green check icon. Properties that do not meet the threshold will remain unfilled and display a yellow question mark icon.

For unpopulated fields, you can click the dropdown to choose a value from among those found in your selected reference users—or simply leave the field blank if needed.

Each field on the page is marked with a lock icon that controls whether operators can edit the field during onboarding. Click the icon to toggle the lock status, deciding which fields should remain fixed and which can be modified later. If you wish to apply the same lock/unlock setting across all fields on the page, select “Apply to all configurations in this section” at the top. You can also adjust settings for each field individually by toggling the lock next to each option.

Important: if you leave a field blank and want operators to fill it out during onboarding, ensure the field is unlocked; otherwise, they won’t be able to enter the required information when using the template.

Step 6: User details

In the “User details” section, fill out the following information:

  1. Identity and authentication:
    1. Identity: select the domain(s) the operator can select when creating a user. This setting is required.
  1. Jobs and contact info:
    1. Company details: this section should include the user's company information, such as office, location, job title, department, and the UPN of the user's manager.
    2. User address: this section is intended for entering the user's address.
    3. User contact: this section should include the user's contact details.

Step 7: Licenses

In the “Licenses” section, determine the usage location and decide which licenses, if any, should be assigned to the new user.

Step 8: Groups

In the “Groups” section, pre-select the security, distribution, Microsoft 365 and Teams groups that the user will belong to.

For Microsoft 365 and Teams groups, you can also specify whether the user should be an owner or a member of each selected group.

To allow operators to add additional groups during onboarding, please ensure the “Additional groups” setting is unlocked.

 

Step 9: Mailbox

In the “Mailbox” section, you can grant the user additional access to existing mailboxes. 

To enable operators to grant additional mailbox access during onboarding, make sure the “Additional access” setting is unlocked.

 

Step 10: Other properties

Use this section to configure further custom attributes for your newly created user. Note that Portal Attributes 1, 2, and 3 will always be visible, while other attributes will only appear if they are mapped as Extension attributes.

Step 11: Review and complete

Select “Review and complete” to proceed. Once all fields are configured and you’re satisfied with the template, click “Submit” to save your settings.

Your template will be listed in the “User templates” section, ready for assignment to operators.
