As an operator, your role in the user onboarding process involves creating new users based on the templates assigned to you by Tenant Admins. This article provides guidance on how to effectively create users using these templates.
Creating a user from a User Template
Step 1: Select assigned template
Navigate to “Management actions” and select the “Create user from template” action.

This will open the “Create user from template” wizard. Find the template assigned to you, select it, and click “Next” to proceed with creating a new user.

Step 2: Understand fields
- Editable fields: after selecting the template, you will notice that only specific fields are available for you to fill out or edit. These fields typically include essential user details that may not have been pre-filled in the template. In some cases, you may have options available in a dropdown menu.
- Non-editable fields: greyed-out fields cannot be modified. These are configured by Tenant Admins to ensure data integrity and prevent unauthorized changes.

If you are uncertain about any modifications you've made, you can click on the “Reset to template default” button to restore the pre-filled data and restart that section.
Step 3: User details
In the “User details” section, provide the following information:

Identity and authentication:
- Identity: enter user information such as first name, last name, display name, and UPN. You may also need to select a domain.
- Authentication info: generate a password for the user and specify whether MFA should be enabled or disabled for the user, if required.

Jobs and contact info:
- Company details: input the user's company information, which includes office location, job title, department, and the UPN of the user’s manager.
- Address: include the user's address here.

Step 4: Licenses
In the “Licenses” section, specify the usage location and decide which licenses, if any, should be assigned to the new user. If available, you may also assign License Pools to the user.

Disclaimer
Please note that we cannot obtain constraints from Microsoft; therefore, certain combinations of licenses may fail after execution. In such cases, no changes will be made, and you will need to repeat the process. However, the user will still be created, and their visibility will update within a few minutes following the action failure.
Step 5: Groups
In the “Groups” section, select the security, distribution, Microsoft 365 and Teams groups that the user will belong to.

For Microsoft 365 and Teams groups, you may also be able to specify whether the user should be an owner or a member of each selected group.

Step 6: Mailbox
In the “Mailbox” section, you may need to grant the user additional access to existing mailboxes.

Step 7: Other properties
Here, you can configure further custom attributes for the newly created user. Note that Portal Attributes 1, 2, and 3 will always be visible, while additional attributes will only appear if they are mapped as Extension attributes.

Step 8: Review and complete
After filling out all the required fields, click “Submit” to create the user according to the selected template.

Using templates significantly enhances the onboarding experience by ensuring that all information is accurate and consistent. As an operator, adhering to the template guidelines helps maintain the integrity of the onboarding process across the organization.
