Create template from scratch

Creating user templates is a crucial step in standardizing the onboarding process within your organization. This article guides tenant administrators through the creation of templates that operators can use, ensuring a consistent onboarding experience.

Creating a User Template from scratch

Step 1: Create a new template

In the left-side panel menu, navigate to “Settings” and then select “User templates”.

Click on “Create new > Create from scratch” to initiate the process. 

This will open the “Create user template from scratch” wizard.

Step 2: General information

In the “General info” section, please provide the following details:

  1. Template name: enter a meaningful name for your template.
  2. Template type: choose between a cloud-based or synchronized template based on your organization’s infrastructure and needs.
  3. Description: optionally, add a description to help users understand the purpose of the template.

Step 3: Select properties to define

In the “Select properties to define” section, check all the attributes you want to include in your template. You will configure the selected items in the subsequent steps.

Step 4: Edit values

In this section, you can configure all the values you've selected in the previous step. Each field on the page is marked with a lock icon, allowing you to restrict editing by operators. Click the icon to toggle the lock on or off, determining which fields operators can edit. You can apply this configuration to all fields on the page by selecting “Apply to all configurations in this section” at the top or set individual fields by toggling the locks next to each option.

Make sure that critical fields remain locked to maintain control over user data.

 

Step 5: User details

In the “User details” section, fill out the following information:

  1. Identity and authentication:
    1. Domain: enter one or more domains that the operator can select when creating a user. This setting is required.
    2. Authentication info: specify whether MFA must be enabled or disabled for the newly created user.
  1. Jobs and contact info:
    1. Company details: this section should include the user's company information, such as office location, job title, department, and the UPN of the user's manager.
    2. Address: this section is intended for entering the user's address.

Step 6: Licenses

In the “Licenses” section, determine the usage location and decide which licenses, if any, should be assigned to the new user.

Step 7: Groups

In the “Groups” section, pre-select the security, distribution, Microsoft 365 and Teams groups that the user will belong to.

For Microsoft 365 and Teams groups, you can also specify whether the user should be an owner or a member of each selected group.

Step 8: Mailbox

In the “Mailbox” section, you can grant the user additional access to existing mailboxes. 

Step 9: Other properties

Use this section to configure further custom attributes for your newly created user. Note that Portal Attributes 1, 2, and 3 will always be visible, while other attributes will only appear if they are mapped as  Extension attributes.

Step 10: Review and complete

Select “Review and complete” to proceed. Once all fields are configured and you’re satisfied with the template, click “Submit” to save your settings.

Your template will be listed in the “User templates” section, ready for assignment to operators.
