A user template contains outdated resources when it references elements that no longer exist or are invalid, such as a departed manager, permissions for a deleted mailbox, or a removed group.
How outdated resources are signalled
A daily automated check identifies templates with outdated resources. Such templates are:
- Marked with a warning icon and the status “needs update” in the “Template Status” column

- Counted in a summary widget at the top of the user templates page, which also allows filtering to display only templates requiring updates


“Needs update” warning
The “needs update” status indicates that a template contains one or more outdated resources. Typical scenarios include:
- The assigned manager has left the organization.
- Mailbox permissions refer to an account that has been deleted.
- A referenced group no longer exists in the directory.

Editing a template
When editing a template with outdated resources, the summary page displays which resources are no longer valid.

These are visually highlighted within the template editing interface (for example, showing the specific group or permission that no longer exists).

Creating users from templates with outdated resources
When creating a user from a template marked as “needs update,” any items or resources that are no longer valid are greyed out. An informational icon provides a reminder to contact an administrator to review the template.

Outdated resources do not interrupt user onboarding. When creating a user from a template with this status, unavailable resources are greyed out, and a notification prompts the operator to contact an administrator for correction.
