User card

A user card is particularly useful when you need to investigate a specific user. It gathers all the details you can select from the “Columns” dropdown in the user report onto one page. This is especially handy when you need to perform multiple actions for the same user.

How to open a user card

To access a user card, go to any user report and click on the expand icon located to the left of the item.

The user card will open in a new tab.

At the top of the user card, you will find the following information:

User type

By hovering over the “i” icon next to the username located in the left corner, you can view the recipient type details for the user, such as “UserMailbox” or “SharedMailbox”. These details determine whether the user has certain features, such as licenses.

Pages

Go to the right corner to switch between available pages. Different user types will have different pages, depending on the license plans they have been assigned. The available pages are “Info”, “OneDrive - SharePoint - Viva Engage”, “Teams", “Exchange”, and “Notes”.  

Info page

In the following section, we will explore the widgets available on the “Info” page of a “UserMailbox” type of user:

1. User details

This section allows you to modify user properties. Certain properties, like the MFA state or password reset, can be edited directly on the page.

2. Licenses

This section displays the licenses assigned to the user. An “Inactive”  badge means the user hasn't used that license for the past 30 days, while an “Unknown” means CoreView doesn't have recent activity information for that license. You can conveniently remove any inactive licenses with just one click.

3. Groups

In this section, you can see the distribution, security, Microsoft 365, and Teams groups the user is part of. It also allows you to perform actions such as adding or removing the user from a group.

Please note that it is not possible to remove users from dynamic groups.  

4. Mailbox

In this section, you can view and manage all the mailboxes accessible to the user, along with the specific rights they hold for each mailbox. Additionally, you can view and manage their external forwarding addresses.

5. Last activity

This section allows you to view the user's most recent activities for each service by clicking “See details”. The badge indicating whether the user is “active” or “inactive” is based on their app usage in the past 30 days.

6. Devices

In this section, you can view information about the devices assigned to the user.

7. Installed Office apps

This widget contains information about the Office apps that the user has installed.

8. Custom widget

In this section, you can choose two properties to display. Just click “Select information” and tick the attributes you prefer. You can also rename the widget by clicking on the pencil icon. Once set up, this widget will appear on all your user cards.

Most widgets include a “See details” action that opens a modal window, providing a complete view of the user record.

 

OneDrive - SharePoint - Viva Engage page

This page is accessible only for users with at least one of the following plans: OneDrive, SharePoint, or Viva Engage. Here, you can find information about the user's OneDrive usage and permissions, SharePoint sites they own, and much more.

Please be aware that if your organization has activated the following settings:

  • Organization Settings > Security > Hide sensitive data

you will not be able to view this page, even if the user has a license plan that includes OneDrive, SharePoint, or Viva Engage.

 

Teams page

This page provides an overview of a user's activities in Teams. It includes details like the length and quality of meetings and calls, the number of these interactions, and how many messages the user has sent.

You can adjust the timeframe for this data using the dropdown menu next to the “Page” dropdown. This lets you focus on specific periods.

Additionally, you can see which groups the user belongs to. You can also perform actions like adding the user to a Teams group or managing their Teams policies from the homonymous widget.

Voicemail

The Teams Voicemail widget provides a centralized location for accessing and adjusting Teams voicemail settings. With this widget, you can easily toggle voicemail status, manage greetings, and handle voicemail policies. 

Voice

The Teams Voice widget provides a single location to view the user's Teams Voice settings. These settings encompass call answering rules, routing for unanswered calls, ringing duration, and dial-out preferences.

Exchange page

This page retrieves data from the Exchange report, along with related management actions available for the mailbox. For instance, you can see whether the user has set up and activated the autoreply feature. If it's not configured, an admin with a management role has the option to do so. Additionally, it allows you to monitor the mailbox quota usage percentage, the volume of emails sent and received, and the types of connections used.

Notes page

This page enables you to create internal notes regarding the user.

Management actions

If you're a Tenant Admin or have the “Management” role and the Management session is enabled, you can choose actions directly from the “Manage” panel on the right. Any action you select will automatically target the user.

Management actions are not available in the Essentials solution.
