A user card consolidates user-specific data and management actions on a single page. It displays the details available from the “Columns” dropdown in the user report. It supports scenarios where multiple actions are performed for the same user.
Open a user card
- Open any user report.
- Select the expand icon to the left of the user entry.
- Alternatively, enter the user’s UPN in the search bar and select the matching result.
Available pages
At the top of the user card, the available tabs depend on the user type (UserMailbox or SharedMailbox) and the license plans assigned to the user. Available pages can include “Info”, “OneDrive - SharePoint - Viva Engage”, “Teams”, “Exchange”, “Sign-ins”, and, if the organization has purchased the User Rewind add-on, “Changes”.

Info page
The following sections describe the widgets available on the “Info” page for users of type “UserMailbox”.
Create custom widget
Select “Create custom widget” to add a widget containing additional information. Enter a title for the widget and select the information to include from the dropdown menu. Multiple items can be added to the same widget.
After creation, the widget appears on all user cards. To edit or delete it, select “…” in the top-left corner.
User details
This section displays user properties and allows permitted operators to modify them. You may also reset the password directly from this section by clicking “Reset”.
Select “See details” to view all attributes, including the “Recipient type details” attribute, which indicates whether the user is a UserMailbox or SharedMailbox.
Select “Edit user properties” to open the corresponding wizard and edit the attributes shown in this section.
Licenses
This section displays the licenses assigned to the user. An “Inactive” badge indicates that the user has not used that license in the past 30 days. An “Unknown” badge indicates that recent activity information is not available for that license.
Select “See details” to access the full report, or “Manage licenses” to review, edit, or remove assigned licenses.
Groups
This section displays the Distribution, Security, Microsoft 365, and Teams groups to which the user belongs.
Select “See details” to access the full report, where actions such as adding or removing the user from a group can be performed. The report also shows whether the user’s membership is dynamic and whether the user is a group owner.
Users cannot be removed from dynamic groups.
Mailbox
This section displays the mailboxes accessible to the user, together with the specific rights assigned for each mailbox and any external forwarding addresses.
Select “See details” to access a report where permissions to other mailboxes, forwarding addresses, and all permissions assigned to this mailbox can be managed.
Last activity
This section displays information about the user’s last activity on any app. The badge indicating whether the user is “Active” or “Inactive” is based on app usage in the past 30 days.
Devices
This section displays information about the devices assigned to the user, including both Entra devices and Exchange mobile devices. Select “See details” to access more information.
Installed Office apps
This widget displays information about the Office apps installed by the user. Select “See details” to view the last activation date and device counters for each service plan.
Entra apps
This widget displays Entra app delegations and ownership information. Click “See details” o view more detailed information about delegations and ownership.
Notes
This widget displays the number of notes added by Tenant Admins. Select “Add new” to create a new note, or “See details” to view previously added notes, including the user who added them and the creation date. Any selected note can be edited or deleted.
OneDrive - SharePoint - Viva Engage page
This page is not available if the following setting is enabled:
- Organization Settings > Security > Hide sensitive data
This restriction applies even if the user has a license plan that includes OneDrive, SharePoint, or Viva Engage.
Teams page
This page displays the user’s Teams activity. It includes information such as the duration and quality of meetings and calls, the number of those interactions, and the number of messages sent by the user. The timeframe can be changed using the dropdown menu in the top-left corner of the page.
Select “See details” in the “Meetings” and “Calls” widgets to access the related detailed report.
Membership
This section shows the Teams groups to which the user belongs. Select “See details” to access the full report, where actions such as adding the user to a Teams group or managing Teams policies can be performed.
Voicemail
The Teams Voicemail widget displays Voicemail settings and allows permitted administrators to modify them when the feature is enabled. Available options include toggling voicemail status, managing greetings, and handling voicemail policies.
Voice
The Teams Voice widget displays the user’s Voice settings. These settings include call answering rules, unanswered call routing, ringing duration, and dial-out preferences.
Exchange page
This page retrieves data from the Exchange report, together with related mailbox management actions available for the selected user. It also shows whether automatic replies are configured and enabled. If they are not configured, an operator with the required permissions can configure them directly from the page by selecting “Configure auto-reply”.
This page also allows mailbox quota status, email volume sent and received, and the types of connections used to be monitored.
Sign-ins page
The “Sign-ins” page lists user sign-in events, including details such as timestamps, geographic location, assigned admin roles, and device information. Widgets at the top of the page can be used to filter the available sign-in log data.
Changes page
This page is available only with the User Rewind add-on.
Management actions
If the operator is a Tenant Admin or has the “Management” role and the management session is enabled, actions can be selected directly from the “Manage” smart panel in the top-right corner. Any selected action automatically targets the current user.
